What's New
IVR Call Back: Cancel Booking Offer
Passengers can now seamlessly initiate booking cancellations using the Interactive Voice Response (IVR) system. This enhancement gives customers the flexibility to choose between keeping or cancelling a booking that might be running late, helping to reduce the number of 'no shows'.
To configure this feature:
- In 365 Management, go to Booking > Punctuality Controls > Late Alerts > Messages.
- Toggle on the setting Include Cancellation Offer? This enables the Cancellation feature and displays two new fields.
- Within the two new fields, Interactive Confirm Prompt and Interactive Cancel Prompt, enter the value a passenger needs to press to keep or cancel the booking.
- Select Save to apply your changes.
365 Portal: Version Details and Customer ID
Finding the version details of your system is now centralised within a new information icon in the 365 Portal, giving you easy access to your system's version information.
Distance and Time Mode: New Charging Method
Introducing a new charging method that calculates the fare in real-time by accounting for both distance and total travel time. Using the soft meter in Driver Companion, this mode accurately quotes distance and the journey duration, generating fare estimates that are displayed to the customer prior to the booking creation, ensuring precise fare calculations and transparency for customers.
To enable this feature:
- In 365 Management, go to Driver/Vehicles > Global Settings > Pricing and navigate to the Autocab Internal Meter section.
- Under Ghost Pricing Meter Charging Method select the setting Distance and Time.
- Select Save to apply your changes.
Global Search: Improvements
We are introducing further improvements to our Global Search feature to enhance its usability. These improvements include:
- Improved navigation: Typing a freetype address and pressing the 'Tab' key now advances focus to the next field rather than previously hiding the dropdown address list.
- Quick access: Pressing the 'S' key activates the Global Search.
- Streamlined actions: All Advanced Booking ('B' screen) and Dispatched Booking ('D' screen) actions are now applicable to relevant Global Search results.
- Time-saving shortcuts: Convenient shortcut keys for '1 week ago' and 'Last month' added to the From date/time field.
Driver Companion: Driver/Vehicle Licence Update
To keep drivers informed about necessary license updates, Driver Companion now notifies drivers when their license documents are expired, ensuring compliance and smoother operations.
Driver Companion: Driver/Vehicle Update Edited
When a driver or vehicle pending update is modified by an operator, a notification is sent to the driver through Driver Companion so they can view and assess the changes.
Pricing Tariffs & Charging Zones: VAT at Job Level
We are excited to announce a range of VAT charging options at the job level. With our latest tax rate features, you have the flexibility to apply VAT at the individual job level, including the pricing tariff levels, extras, and charging zones. This allows you to tailor your VAT strategy to various scenarios.
The Tariff Tax Rate option is applied to the pricing tariff, offering VAT at job level. The Extras Tax Rate options allow extras to be charged at a different VAT rate than the job itself.

Tariff Tax Rate
To configure:
- In 365 Management, go to Pricing and Payments > Tariffs > Variable or Fixed > Settings.
- Select the Custom button to configure the extra charges and navigate to the Extra Charges header.
- Under the Tariff Tax Rate option, use the dropdown menu to select a tax rate (as configured in Accounts).
Extras Tax Rate
To configure:
- In 365 Management, go to Pricing and Payments > Tariffs > Variable or Fixed > Settings.
- Select the Custom button to configure the extra charges and navigate to the Extra Charges header.
- Under Extras Tax Rate, select the applicable option for your system:
- Default: If selected, no other options are displayed and the system uses the default rate.
- Custom: If selected, a new option appears with a dropdown menu to select an Extras Tax Rate (as defined in Accounts).
Tax Rate
To configure:
- In 365 Management, go to Pricing and Payments > Templates > Charging Areas.
- Use the Add button to create a new Template or double-click to modify an existing one.
- In the Charging Zones Settings modal, use Tax Rate setting to select an applicable tax rate from the dropdown menu.
Booking Controls: Availability Feature
In Booking Controls, in the modal for Accept Bookings Rule, there is a new togglable option of 'Bookings can only be made if there's an available driver'. When enabled on a pickup zone, a booking can only be made if there is a clear or soon-to-clear vehicle in the main zone or any of the applicable backup zones. This ensures that bookings cannot be made by passengers if there are no readily available drivers in the area.
Global Search: Export Settings Templates
Within the Global Search results page of Booking and Dispatch, you can select and export the results of the search to a chosen template.
Improvements
Pending and History Tables: Date/Time Field
Following our improvements to the driver's uploading documents, within the Approval tab in Driver Details, there are new fields in the Pending and History tables. Both tables now feature a new field named 'Date Submitted', highlighting the date/time that a driver submits a new document or detail. Using the pre-existing 'Actioned Date' field, you can cross-reference the two date fields to check whether the request has been dealt with in good time.
Submitting Documents Off-Shift
For drivers who cannot upload vehicle documents off-shift due to technicalities, we are introducing an improvement that alerts drivers when trying to start their shift that they have expired documents, giving them the option to upload updated documents.
Cancellation/No Fare Charges
When bookings are cancelled/no fared, the cost/price is zero for bookings where charges do not apply. Enhanced transparency in cancellation scenarios with a zero-cost indication for bookings where charges are not applicable.
Email Templates: VAT at Job Level
Creating email templates now supports the new VAT at job level pricing options (Tariff Tax, Extras & Tax) as tags.
Bid while Busy: Offer Enhancements
To further enhance our bid while busy feature, we are introducing some improvements, including:
- Auto-Follow On Bookings do not extend beyond the main zone (except when enabled for the local cab account) to allow bid while busy offers to be used for vehicles in backup zones.
- Disabling the Soon To Clear (STC) dispatch logic for busy vehicles which have bid on a job offer during the bidding time, as STC dispatch prevents the vehicle from winning the bid.
Bug Fixes
- Fixed: Issue affecting Ghost Windows where 3 hours is added to the pickup time when manually adding the NAT zone as the pickup.
- Fixed: Issue when using Export Sheet Summary in Driver Sheet History resulting in 100% CPU use on the main server.
- Fixed: Issue when No Faring a booking for Local Cab
- Fixed: When updating an account (corporate and kickback) in Ghost Windows that has textback and/or email templates attached, upon saving the change, the templates are removed from the account.
- Fixed: Issue where accepted bid offers are expiring.
- Fixed: Issue when exporting the Archived Bookings report from the Fleet Portal Pages table not calculating the distance.
- Fixed: Issue where email passwords were erased when editing email settings in 365.
- Fixed: Issue with duplicate rows in the Profit Analysis Report.
- Fixed: Issue where the incorrect number of bookings are returned when filtering the results in Advanced Bookings.
- Fixed: Issue where the Availability feature is ignoring schedule on a non-default rule.
- Fixed: Breaking change issue resulting from Judopay changing their APIs to be case-sensitive.
- Fixed: Issue where bid offers to STC drivers are taking much longer than the normal 5-10 seconds.
