What is VAT at Job Level?
In Management, you can apply VAT at the individual job level, including the pricing tariff levels, extras, and charging zones, allowing you to tailor your VAT strategy to various scenarios. There are three options that allow adding VAT at the job level: the Tariff Tax Rate, the Extras Tax Rate and the Tax Rate options.
You can create custom Tax Rates in 365 Accounts before configuring your Management system to apply the rates. For more information, see our Tax Rates article.
Configuring Tariff Tax Rate
The Tariff Tax Rate option can be used to add
- Go to Pricing and Payments > Tariffs > Variable or Fixed > Settings.
- Select the Custom button to configure the extra charges and navigate to the Extra Charges header.
- Under the Tariff Tax Rate option, use the dropdown menu to select a tax rate.
Configuring Extras Tax Rate
- Go to Pricing and Payments > Tariffs > Variable or Fixed > Settings.
- Select the Custom button to configure the extra charges and navigate to the Extra Charges header.

Under Extras Tax Rate, select the applicable option for your system:
- Default: If selected, no other options are displayed and the system uses the default rate.
- Custom: If selected, a new option appears with a dropdown menu to select an Extras Tax Rate.
- Under Extras Tax Rate, select an option from the list.
- Press Save to apply your changes.
Configuring Tax Rate
For Tax Rates on Charging Zones, you must first be able to set up a Charging Zone. For further details on this, please see Creating Charging Zones.
To configure the Tax Rate:
- Go to Pricing and Payments > Templates > Charging Areas and edit or create a template.
- In the Edit Template modal either add a new Charging Zone Set or double-click to edit an existing one. This opens a new modal where you can edit the Charging Zone settings.
- Under Tax Rate Mode, select the Custom option.
- Use the dropdown menu under Tax Rate to select the appropriate rate for this charging zone.
- Ensure to select the Include option.
- Press Confirm to save your changes.
- Make sure to Save before closing the template editor window.
While Booking and Dispatch will reflect the charging area, the charge only applies if you physically moved through the charging zone.
Configuring the Email Template for VAT-Charged
Currently, showing the amount of VAT charged can only be added to email templates set up for Job Booked and Job Complete. To configure the email template:
- Go to Passengers > Passenger Communication > Email.
- Double-click to open your Default template and in the editing modal go to Email > Job Booked / Job Completed.
- Enable the setting Send for Passenger. Without this, the passenger will not receive an email.

In the textbox for the Job Booked/Complete - Body, you can edit the default template. An example template for a completed booking that shows the VAT charged is the following:
- Select the Configure Booking Fields button to set up fields in the table generated by the <BOOKING FIELDS> tag.

We recommend you add the following fields:
- Date/time
- Vias
- Pickup
- Destination
- Name
- Company
- Extras
- Cost
- Price
- Area charges cost (Not available for the Job Booked template)
- Area charges price (Not available for the Job Booked template)
- VAT
- Click Save to apply your changes.
Note: When booking a job, ensure you have placed an email address on the booking to receive the email template.
