You can view and manage all applications sent into your campaigns from this section, allowing you to approve and reject candidates, request more information, and go on to create a driver and vehicle account.
How Does it Work?
When a candidate starts an application for your campaign, it will promptly appear on this screen in the table. You can view their progress as a percentage, indicating how far they have advanced in the application process. The status column in the table shows the current state of the application, including whether it has been submitted, is still in progress, has been approved, rejected, stalled, undergoing revision or is awaiting re-submission.
Managing an Application
To view and manage an application:
- On the Driver Recruitment - Applications screen, double-click on an application within the table to open it.
- Here you can view all the details submitted by the applicant:
- Use the dropdown menus for each section, Personal Details, Vehicle Details and Documents to view the information submitted by the applicant.
- Add notes to the application for other internal personnel to view by clicking the Internal notes button and entering the note into the text field.
Approving an Application
If you are satisfied with the details submitted, you can approve the application and begin setting up your driver on your system.
To approve an application:
- When viewing the application, press the green Approve button.
- A new modal appears where you can create the vehicle and driver records using the information provided in the application.
- To skip this step and add the vehicle and driver records at a later stage, uncheck the two toggles and press Approve.
- Otherwise, provide suitable driver and/or vehicle callsigns in the input fields and press Approve.
- The application status will be updated to 'Approved' and, if configured, an email will be sent to the applicant notifying them of their approval status.
- If the applicant clicks the campaign link and logs in, their application status indicate approval.
- If selected to create vehicle and driver records, these will appear in the table on the Applications screen and in the respective areas of Driver/Vehicles.
Rejecting an Application
If you are dissatisfied with the application, you can either reject and provide comments for the applicant to review and resubmit, or you can fully reject it.
To reject an application WITHOUT re-submission:
- When viewing the application, press the red Reject button.
- In the Reject Application modal, ensure the 'Allow Resubmission' toggle is unchecked to disallow the applicant from making changes and resubmitting their application.
- Optionally, add text to provide reasoning for the rejection.
- Once ready, press the red Reject button.
- The application status will be updated to 'Rejected,' and, if configured, an email will be sent to the applicant notifying them of their rejection status.
If the applicant clicks the campaign link and logs in, their application status shows as unsuccessful and does not allow for resubmission.
Rejecting with the Option to Resubmit Application
To reject an application and allow them to resubmit, there are two ways you can do this.
One way is to provide reasons for the application rejection in writing:
- Follow the steps above and in the modal ensure the 'Allow Resubmission' toggle is enabled.
- In the text field provided, enter feedback explaining why the application has been rejected and what steps the applicant can take to address the issues before resubmitting.
- Once ready, click the red Reject button.
- The applicant will receive an email with the feedback you provided, along with an opportunity to make changes and resubmit their application.
The other option is to review the application and identify any fields that need to be rejected, prompting the applicant to resubmit these fields:
- When viewing a submitted application, click the Reject (
) button next to any fields where you are dissatisfied with the provided information.
- A modal opens up where you can add the rejection reason for that particular field.
- Any fields you highlight as having an issue will then be marked in red where you can view and modify your comments before rejecting.
- After you have finishing flagging any fields for resubmission, click the red Reject button.
- The fields you have highlighted that require submission will appear on the Reject Application modal in a list.
- To proceed with the rejection with resubmission, click the Reject button.
- The applicant will receive an email with rejection reasons, along with an opportunity to make changes and resubmit their application.
Upon logging into the campaign, the rejected fields are highlighted to the applicant in a list with the reasons of the rejection. The applicant can proceed by clicking the Revise button.
The campaign applicant also highlights the fields that require attention, allowing the applicant to easily rectify the issues.
