The Lead Times section enables you to set up specific time intervals for each zone, determining how far in advance an advanced booking becomes active on the Booking & Dispatch screen.
By automatically moving bookings from the 'B' advanced bookings screen to the active screen based on their pickup due time, this feature ensures that your taxis arrive on time for your customers and helps you maintain a positive reputation.
To access this screen:
- Click on Lead Times from the Booking > Punctuality Controls dropdown menu.
Configuring Default Lead Times
Set standard lead times for when pre-bookings should be moved to active dispatch status across different zones.
To configure your default lead times:
- Click the Default lead times tile on the Punctuality Controls - Lead Times screen.
- If using a multi-company system, select a Company. If not, move to Step 3.
- Select a Zone from the dropdown menu.
- Double-click on a day/time cell to enter a lead time in minutes.
- To quickly set multiple lead times to the same value, edit a cell, and then click and drag to update the other cells.
Note: To copy the configured lead times to multiple zones, click on the Copy To Zones button. - Then click Save to apply your changes.
Configuring Lead Times Exceptions
A lead time exception overrides your default lead times. When configuring exceptions, you use booking recipes to pinpoint certain bookings that require a lead time exception. A fixed value or percentage can uplift or decrease these exceptions.
To configure your default lead times:
- Select Lead Times Exceptions.
- If using a multicompany system, select the Company you want to create an exception for.
- Use the dropdown menu to select a Booking Recipe.
- Select the Minus ( - ) button for a decrease on the lead time (takes waiting time off the default lead time) or select the Plus ( + ) for an increase on the lead time (adds more waiting time onto the default lead time).
- Select the Mins or Percentage (%) option for a fixed increment or a percentage addition to the default lead time. Using a fixed value makes more sense if the customer knows that their lead times need to be 5 mins higher for bookings at certain times of day or during the week. A percentage is useful when the default lead times table needs uplifting all at once for a specific booking type, as the uplift scales with the value in the table.
- Enter a value in the text field for the amount of buffer to apply.
- Select the Add button to add your exception to the list.
- Repeat these steps as needed.
