Cancellation fees on a tariff
To configure cancellation charges:
- Go to Accounts > Settings > General.
- Under the Job Insert Mode section, check to enable 'No Fare' and 'Cancelled'.
- Click Save.
- Go to Management > Pricing and Payments > Tariffs > Variable and open your default tariff.
- In the Settings tab, check to enable 'Completed Booking' only for Applies to Docket Source.
- Then Save the tariff.
- Next, create a new tariff and name it "cancellation fees".
- Under the Settings tab, check to enable 'Cancelled Booking' and 'No Fare Booking' only for Applies to Docket Source.
- Under the Job Types tab, check to enable "Accounts".
- Click 'Apply to Accounts' and set the 'Variable Tariff Mode' setting to 'Use Both Default and Selected Tariffs' and select an account to assign the tariff to.
- Click Confirm.
- Then Save the tariff.
Note: You can also configure the following settings on a tariff:
- Free Cancellation Minutes: The passenger will only be charged the cancellation fee if they cancel after the minutes in this setting have passed after the booking was dispatched.
- Lateness Tolerance (Mins): If the booking is late by the number of minutes here or more, then the passenger will not be charged the cancellation or no fare fee.
Enabling cancellation fees
To enable the cancellation fees:
- Go to the AppSettings > Passenger App 5G > Booking.
- Set the 'Booking Cancellation Rule' setting to your preference.
- Toggle the 'Charge Cancellation Fee' setting to 'enabled'.
- Then click Publish.
Note: Users using E-booking and booking by phone will be affected immediately when enabling the cancellation fees, however, Passenger app users will only be affected when they've updated the app to the newest version.
Note: Passenger app users will be required to accept the new T&Cs after updating the app to the newest version, and users that do not update the app will not be charged cancellation fees.
To confirm cancellation fees are working, dispatch a booking on the account to Driver Companion and then cancel it from the Dispatch screen. The cancelled booking should be using the 'Cancellation Charge' cost source.
