Vehicles - 365 Management

The Vehicles screen allows you to add and manage vehicles on your Autocab system.


To access this screen:

  1. Click on Vehicles from the Drivers/Vehicles dropdown menu.

Add a vehicle

To add a new vehicle:

  1. Click on the Add button on the right-hand side. 
  2. Enter any required vehicle details (marked with an asterisk *) within each tab.

  3. Then click Create to add the vehicle.

Details

The Details tab is where you will enter the vehicle’s basic details.

  • Callsign: The unique number that identifies the vehicle. 
  • MDT ID: The vehicle’s mobile data terminal (MDT) ID number. 
  • Size (Passengers): The number of passengers the vehicle can accommodate. 
  • CO2 Emissions (g/km): The vehicle’s CO2 emissions value.
  • Make: The make of the vehicle.
  • Model: The model of the vehicle. 
  • Colour: The colour of the vehicle.
  • Registration: The number on the vehicles registration plate.
  • Year: The year the vehicle was produced.
  • Mileage: The vehicles total mileage.
  • Vehicle Type: The type of vehicle, for example, a ‘Hatchback’.
  • Capabilities: This defines which type of jobs the vehicle is capable of doing.
  • Transaction Group: Used for assigning a transaction group if you’re using vehicle accounts, rather than driver accounts.
  • Plate Number: The vehicle’s taxi licence plate number. 
  • Shift Pattern: Used to assign a shift pattern to a vehicle.
  • Suspended: Enable to suspend the vehicle from being used for work.
  • Company: Select which company the vehicle is managed under.
  • Vehicle Comments: Additional comments for the driver to read via Driver Companion.

Equipment

The Equipment tab is where you add any equipment that is used with the vehicle.

  • Terminal Type: This will be automatically set when the vehicle is activated.
  • Functionality Group: Select which functionality group this vehicle is managed under. 
  • Add-Ons Group: Select which add-ons group this vehicle is assigned to.
  • Phone Number: The phone number of the vehicle’s MDT device. Used to allow calls between the driver, customer and operator.
  • SIM 1 Number: The vehicle’s MDT device SIM number.
  • Software Version: This will automatically update based on the Driver Companion version.
  • IMEI: The IMEI of the vehicle’s MDT device
  • SIM 2 Number: The vehicle’s secondary MDT device SIM number.
  • Serial Number: The vehicle’s MDT device serial number.
  • Bluetooth PIA Serial Number: The serial number of the vehicle’s Bluetooth PIA.
  • Card Reader Serial Number: The serial number of the vehicle’s card reader, for example, SumUp.
  • Meter Serial Number: The serial number of the vehicle’s built-in meter.
  • Printer Serial Number: The serial number of the vehicle’s built-in printer.

Owner

The Owner tab is where you enter the vehicles ownership details.

  • Driver Login Mode:
    • Off: All drivers of the same company can use the vehicle.
    • Allowed Drivers: Only drivers assigned to this vehicle can use it.
    • Disallowed Drivers: Only drivers not assigned to this vehicle can use it.
    • Group: Only drivers in the selected driver group can use it.
  • Has Two Owners: This allows you to assign two drivers if enabled.
  • Allocated To Owner: The owner-driver will not require a PIN to log in if enabled.
  • Owner Forename: The vehicle owner’s forename.
  • Owner Surname: The vehicle owner’s surname.
  • Owner Driver: Select which driver is the owner of the vehicle. 
  • Fleet Owner: Determines which fleet a vehicle is assigned to.
  • Owner PIN Prefix: The prefix of an owner’s PIN (1-9).
  • Owner Account Code: The account code of the vehicle owner if the vehicle has two owners.

Dates

The Dates tab is where you enter the vehicle’s document expiry dates.

  • Insurance Expires: The vehicle’s insurance expiry date. 
  • MOT Expires: The vehicle’s MOT expiry date. 
  • Plate Expires: The vehicle’s taxi plate expiry date. 
  • Road Tax Expires: The vehicle’s road tax expiry date. 

Documents

The Documents tab is where you can add and manage a vehicle’s documents.

Add a document

To add a new document:

  1. Click on the Add button on the right-hand side.

  2. Enter the document details:

    Name: The name of the document.
    Description: A basic description of the document.
    Document State: The documents state (Without, Uploaded)
    Upload Document: This allows you to upload a document.

  3. Then click +Add.

Edit a document

To edit a document:

  1. Double-click on a document.
  2. Edit the document details.
  3. Then click Save.

Approval

The Approval tab is where you can accept or reject vehicle documents.

To approve or reject a document:

  1. Click on the (Tick) or (Cross) button within the Approve column.

To download a document:

  1. Click on the (Download) button within the Download column.

Edit a vehicle

To edit a vehicle:

  1. Double-click on a vehicle from the table.
  2. Make any necessary changes.
  3. Then click Save.

Note: You can also delete the vehicle by clicking on the 'Delete' button.
